This policy explains how refunds work for products and services sold through the Cost Doctor platform, operated by Rondanini Publishing Ltd. Payments are processed by Polar Software Inc., which acts as our Merchant of Record for subscription transactions.
1. Subscription plans — 14-day money-back guarantee
All paid subscription plans (Pro, Team, and Governance) come with a 14-day money-back guarantee from the date of your initial purchase. If you are not satisfied with the Service for any reason, you may request a full refund within 14 days of your first payment.
This guarantee applies to:
- new subscriptions (monthly or annual);
- upgrades from one plan to a higher-tier plan (14 days from the upgrade date).
After the 14-day window, subscriptions are non-refundable. You may cancel at any time, and your access will continue until the end of the current billing period.
2. Annual subscriptions
Annual plans are eligible for the same 14-day money-back guarantee from the date of purchase. After 14 days, annual subscriptions are non-refundable for the remainder of the billing year. You may cancel to prevent renewal; access continues until the annual period ends.
3. Renewal payments
Automatic renewal payments (monthly or annual) are not eligible for the 14-day guarantee. If you did not intend to renew, contact us within 48 hours of the renewal charge and we will assess your request on a case-by-case basis.
4. One-time purchases and services
One-time purchases such as done-for-you audit reports, migration services, and consulting engagements are non-refundable after delivery. If we have not yet begun work, you may cancel for a full refund. If work is partially complete, a partial refund may be offered at our discretion.
5. How to request a refund
You can request a refund in two ways:
- Email us at privacy@berta.one with the subject line “Refund request” and your account email address.
- MoR customer portal — log in to your Polar receipt email and use the cancellation/refund link provided.
6. Processing time
Refund requests are reviewed within 2 business days. Once approved, Polar processes the refund to your original payment method. Depending on your bank or payment provider, it may take an additional 5–10 business days for the funds to appear in your account.
7. Chargebacks
Before initiating a chargeback with your bank, please contact us first. We are committed to resolving disputes quickly and fairly. Chargebacks incur fees that are ultimately borne by both parties; a direct refund request is faster and simpler for everyone.
8. Exceptions
We reserve the right to deny a refund if we have evidence of abuse, fraud, or a pattern of repeated refund requests intended to circumvent payment. In such cases we will explain our reasoning in writing.
